3. Information We Collect To maintain a high-trust B2B ecosystem, we collect:

• • Corporate Identity & Personnel Data: Company Name, Business Email, Registered Address, and Contact Person’s identification.
  • Statutory & KYC Data: GSTIN, PAN, MSME Certificates, and Incorporation documents.
  • Operational & Project Data: Project specifications, Budgets, Daily Progress Reports (DPR), Site images/videos, Work Completion Certificates (WCC), and Purchase Orders. (Updated)
  • Financial & Transactional Metadata: Payment history, Processing/Commitment/Success fees, and banking metadata (via Zugnoo Home Sync Solution LLP). (Updated)
  • Digital & Usage Intelligence: IP addresses, device identifiers, cookies, and detailed platform activity logs.

4. Purpose of Data Processing

• • Marketplace Facilitation: Powering the intelligent Matchmaking engine and Project Allocation. (Updated)
  • Verification & Trust: Rigorous KYC and background checks to prevent platform misuse.
  • Financial Integrity: Invoice generation, TDS management, and secure fee reconciliation.
  • Performance Tracking: Utilizing DPRs and site data to maintain “Trust Scores” and audit trails.

5. Data Sharing, Disclosure & Non-Disclosure Agreement (NDA) Strict No-Sale Policy: VendorMate does not trade, rent, or sell user data to third parties.

• •  Counterparty Disclosure: Post-award sharing of contact details between Corporate and Vendor to facilitate direct contract execution.
  • Third-Party Facilitators: Sharing with regulated payment gateways, cloud providers (AWS/Google/Azure), and encrypted analytics tools.
  • Financial Partners: Sharing with authorized NBFCs for Invoice Discounting (strictly upon explicit opt-in).
  • Statutory Mandates: Disclosure to government authorities if required under Indian law or judicial orders.
  • Payment Processing: All online financial transactions (such as Processing Fees and Commitment Fees) are processed through secure, RBI-authorized, and PCI-DSS compliant third-party payment gateways (e.g., Razorpay). VendorMate / Zugnoo Home Sync Solution LLP does not store or process your complete credit/debit card numbers or UPI PINs on our servers. (Updated)

6. Data Retention & User Rights

• • Statutory Records: Financial and tax-related data is retained for 8 years per Indian Audit laws.
  • Operational Data: Retained as long as the account is active.
  • Right to Erasure: Users may request data deletion, subject to the completion of active projects and fulfillment of statutory retention requirements.
  • Right to Access & Rectification: Users hold the right to access, review, and request updates or corrections to their registered KYC, contact, and operational data at any time to ensure its accuracy.

7. Data Security Measures We employ military-grade safeguards:

• • 256-bit SSL Encryption for all data in transit.
  • AES Encryption for sensitive data at rest.
  • Multi-Factor Authentication (MFA) and Role-Based Access Controls (RBAC).
  • Periodic security audits and vulnerability assessments.

8. Limitation of Liability & Third-Party Actions

• • VendorMate acts as a Facilitator (Intermediary) under Section 79 of the IT Act.
  • We are not liable for the quality of services/goods provided by Vendors.
  • We are not responsible for independent contractual disputes or payment delays between Corporate Clients and Vendors.
  • Users acknowledge that no digital transmission is 100% secure.

9. Affiliate & Royalty Transparency The 0.25% Affiliate Royalty Program is a legal marketing incentive. Data related to this program is recorded for tax compliance (TDS) and is not shared with unauthorized third parties.

9. Governing Law & Dispute Resolution This policy is governed by the Laws of India. All disputes arising out of or in connection with this policy shall be subject to the exclusive jurisdiction of the Courts of Gautam Buddh Nagar, Uttar Pradesh.
